Property owners together with their property managers (as PCBU’s) have a duty of care, so far as is reasonably practicable, to ensure the health and safety of everyone involved with or affected by work on or at their property. This includes work that they organise or are responsible for. They also have a responsibility to ensure that the people they engage to do work are competent and appropriately qualified to do that work.
Green Light makes sure an owner’s assets are in good hands. It ensures service providers are who they say they are, have been authorised to do work on the property and are appropriately qualified to do the work they have been engaged to do.
It also ensures service providers have been inducted to the property. Green Light’s Online Induction Programme is an easy and convenient process for informing service providers of relevant health and safety matters such as potential hazards and fire evacuation procedures.
Green Light allows the property owner to monitor an authorised service provider’s attendance and safety whilst onsite. It also provides a record of who has visited the property and of the time spent onsite.

RIGHT PEOPLE FOR THE WORK
The Green Light system requires service providers to register their interest in becoming an approved contractor for a “Green Light” property.
In order to become an Approved Contractor the service provider must provide to the property owner and/or Green Light photo identification, a contact email address and details of their relevant work qualifications together with supporting information.
Once the qualifications have been vetted and the contractor registered they will then need to be inducted into the property. Green Light will send an invitation to the service contractor to complete an online induction on the relevant Green Light property.
The Online Induction Programme is a stepped process that takes the service provider through information specific to the property that is relevant to their health and safety and of those who may be affected by their work. The information will include such things as Fire Emergency Procedures, Hazard Lists and the Owner’s health and safety policy.
The Online Induction Programme ensures service providers are made aware of potential hazards and other relevant risk related information prior to visiting the property.


KEEPING PEOPLE INFORMED & SAFE
Green Light properties are part of a network that facilitates real-time check-in/check-out reporting for each individual Service Provider.
Green Light allows an Owner and/or its property manager to be immediately notified when a service provider has checked in and/or out. Notifications are sent either by email or text. This allows Owners to monitor and check that the right people are there undertaking authorized work.
The check in process requires the service provider to verify they are authorised to come onsite and to notify the property manager of any hazards they are bringing onsite. This allows the property manager to inform, if necessary, parties such as tenants who could be affected by these hazards.
Once onsite Service Providers can also easily report any new hazards they may identify.
Should the Service Provider’s induction have expired they will be notified when attempting to check-in and declined entry.
KEEPING LONE WORKERS SAFE
Working alone, especially in higher-risk environments can be dangerous for the service contractor and a cause of concern for their employer, the Owner and its property manager. Green Light assists with managing this risk by regularly checking in with anyone who is working alone. Automated text messaging can ask them to confirm that they are safe and well.
Greenlight in Action:

STEP 1
A service provider checks into the property using the Green Light app on their phone. They can either check in by scanning a designated QR code or by confirming the GPS Location.

STEP 2
The Green Light network checks that the service provider has been inducted and requires the service provider to enter an authorisation reference such as a purchase order number and advise whether any hazards are being brought onsite.

STEP 3
Once the Service Contractor has accepted the Conditions of Entry the check-in information is logged and sent to the Owner and/or property manager. The app also provides the Service Contractor access to a library of information on the property which may be helpful to them in completing their task.

STEP 4
When the service provider leaves the property they check out-using the app and the time is logged. They are also asked to add any new hazards they may have identified to the system.
